Data Retention Policy

This Data Retention Policy explains what data BrandPulse retains, how long we retain it, and the process for deletion. This policy is part of our commitment to transparency and data protection.

1. What Data We Retain

We retain the following categories of data:

• Account data: name, email address, password hash, and account preferences
• Organization data: workspace name, brand names, monitoring keywords, and configuration
• Mention data: collected mentions, social media posts, reviews, and their analysis results
• Audit logs: actions taken within the platform by users
• Billing data: subscription history and payment records (processed by Dodo Payments)
• Communication data: support tickets, feedback, and email correspondence

2. Retention Periods

Data is retained for the following periods:

User Account Data

Your account data is retained for the duration of your account plus 90 days after deletion to allow for recovery. After 90 days, the data is permanently deleted.

Mention Data (per plan)

Mention retention depends on your subscription plan:

• Free plan: Mentions are retained for 30 days
• Starter plan: Mentions are retained for 90 days
• Pro plan: Mentions are retained for 1 year
• Enterprise plan: Mentions are retained indefinitely (or as agreed in your contract)

Audit Log Retention

Audit logs are retained for 90 days from the date of the action.

Billing Records

Billing records are retained for the duration required by applicable tax and accounting laws (typically 7 years).

3. Deletion Process

When you request account deletion, the following process occurs:

• Your account is immediately deactivated and access is revoked
• A 90-day recovery period begins during which you can restore your account by contacting support
• After 90 days, your account data, organization data, and associated mentions are permanently deleted
• Anonymized and aggregated data may be retained for analytics purposes
• Billing records are retained separately as required by law

4. Data Security During Retention

All retained data is stored securely using encrypted PostgreSQL infrastructure with access controls, audit logging, and routine security maintenance.
